Dance Escape Terms & Conditions 

1. Booking Your Dance Escape Retreat
By booking a retreat with Dance Escape, operated by GROOV3 AUSTRALIA NZ, you agree to these Terms & Conditions. A booking is confirmed, and a contract is formed when we accept your booking and issue a confirmation email or invoice.

2. Payment Policy
Australian participants will be charged in Australian Dollars (AUD), and American participants will be charged in United States Dollars (USD).
All retreat prices are based on per-person, single or twin-share occupancy determined by the customer at the time of booking.
A non-refundable deposit is required to secure your booking. All installment payments must be made by the specified due date to retain your spot.
Prices are subject to change due to external factors, including currency fluctuations or changes to accommodation and venue costs. If any such changes occur, we will notify you of adjustments.
Payment methods will be outlined in your booking confirmation.
In case of currency fluctuations, Dance Escape reserves the right to adjust the final payment amount to account for significant exchange rate differences.

3. Inclusions and Exclusions
Inclusions:
The retreat price includes items listed under "Inclusions" on the retreat webpage or itinerary.
Exclusions: The retreat price does not cover:

  • Flights, visa fees, or passport expenses.

  • Travel insurance.

  • Meals, alcohol, or activities not explicitly listed on the details page.

  • Personal expenses or optional excursions.
    No refunds or credits will be provided for unused inclusions, late arrivals, or early departures.

4. Travel Insurance
Travel insurance is mandatory and must cover medical, cancellation, and personal liability. Ensure your policy suits your travel needs, including coverage for dance and physical activities.
Dance Escape is not liable for any loss, injury, or expense due to insufficient or invalid insurance coverage.

5. Health and Fitness
Participants must ensure they are medically and physically fit for travel and participation in dance activities. Consult a healthcare professional if you have health concerns.
Dance Escape reserves the right to impose safety requirements or deny participation in activities for health and safety reasons.
Vaccination and health requirements for the destination are your responsibility.

6. Passports, Visas, and Travel Documents
You are responsible for ensuring you have valid passports, visas, and any other necessary travel documents. Entry requirements may change, so please verify them before travel.
Dance Escape is not liable for any delays, denials, or additional expenses incurred due to incomplete or invalid documentation.

7. Cancellation Policy
Cancellation by You:
Cancellations must be communicated in writing.
Cancellation fees apply based on the timing of your cancellation:

  • 123 or more days before 3 September 2025 – loss of deposit.

  • 62 to 122 days before 3 September 2025 – loss of deposit and 50% of trip balance.

  • Within 61 days of 3 September 2025 – loss of deposit and 100% of trip payment.

Cancellation by Dance Escape:
If unforeseen circumstances (e.g., force majeure, safety concerns) require us to cancel, we will offer:

  • A transfer of funds to another Dance Escape retreat.

  • A credit for future retreats, minus reasonable expenses.
    Dance Escape is not liable for any additional costs, such as non-refundable flights or other bookings.
    Any refund made by Dance Escape to the customer will be less the credit card processing fee of 3.5% unless the refund is due to Dance Escape canceling the trip where there is an approved refund in full.

Non-responsive customer:
In the case that the customer has not completed the required waiver/medical forms or has not responded to outreach by Dance Escape, and it is 30 days prior to the start of the retreat, Dance Escape reserves the right to cancel the customer's reservation on the retreat. No refunds will be provided, and the full amount paid will be forfeited.

8. Changes to the Retreat
Dance Escape reserves the right to make changes to the itinerary, venue, or other aspects of the retreat due to external factors, such as weather, supplier availability, or other unforeseeable events.
Changes will be communicated as early as possible.

9. Safety and Responsibility
Participants are responsible for their own safety during the retreat. We recommend registering your travel plans with relevant government agencies for added security.
Always exercise caution and be aware of local conditions.

10. Minors
Minors (under 18 years) must be accompanied by a responsible parent or guardian who assumes full responsibility for their participation.

11. Injury, Illness, and Liability Release
Participation in retreat activities, including dance classes, involves inherent risks. By booking, you voluntarily assume all risks associated with participation, including but not limited to injury, illness (including communicable diseases such as COVID-19), disability, or death.
You agree to release, discharge, and hold harmless Dance Escape, its affiliates, instructors, agents, and employees from any claims, liabilities, losses, or damages arising out of your participation.
You acknowledge that it is your responsibility to consult a qualified healthcare professional before participating in any retreat activities.
You agree not to attend the retreat if you are ill, have tested positive for COVID-19, or have been recently exposed.

12. Indemnity
You agree to indemnify Dance Escape against any claims, damages, or losses arising from:

  • Participation in the retreat.

  • Personal acts, omissions, or negligence during the retreat.

13. Use of Image
By attending a Dance Escape retreat, you grant us the right to use photos or videos featuring you for promotional purposes. If you do not wish to be included, notify us in writing before the retreat.

14. Data Privacy
Dance Escape will handle your personal information in compliance with applicable privacy laws, including the California Consumer Privacy Act (CCPA) for U.S. participants and relevant Australian privacy regulations.
Your data will be used solely for retreat-related purposes and will not be shared without your consent.

15. Dispute Resolution and Governing Law
For Australian participants, this agreement is governed by the laws of Australia.
For U.S. participants, this agreement is governed by the laws of the state of California, United States.
Any disputes will first be addressed through mediation, with arbitration as a subsequent step if required.

16. Definitions
Dance Escape
refers to retreats organized by GROOV3 AUSTRALIA NZ.
Retreat Price: The cost outlined in the retreat schedule.
Force Majeure: Events beyond Dance Escape’s control, such as natural disasters, pandemics, or political unrest.

BY BOOKING A DANCE ESCAPE RETREAT, YOU CONFIRM YOU HAVE READ, UNDERSTOOD, AND AGREED TO THESE TERMS & CONDITIONS.
